Mothers' Club Officers:
Historian: The historian takes photographs at Mother’s Club events, and organizes these photos and other memorabilia into a scrapbook.
Co-Treasurers: The Co-Treasurers keep an accurate account of receipts and expenses, and provide written reports at Mother’s Club meetings regarding such. Responsibilities also include supplying each concession stand with a money box and adequate change for each sporting event; writing checks and making bank deposits on behalf of the Mother’s Club.
Co-Secretary: The Co-Secretaries are responsible for all records, meeting minutes, official correspondence, and other secretarial duties as needed by the Mother’s Club. The Co-Secretaries also prepare the schedule of concession stand workers, and the distribution of this schedule to Helias families, as well as upkeep of the Mother’s Club website.
Co-Vice Presidents: The Co-Vice President’s provide general support in all areas of Mother’s Club workings in order to better understand and be prepared to assume the role of Co-Presidents the following school year.
Co-Presidents—Co-President’s President’s preside at all Mother’s Club meetings,
seek out and appoint chairpeople for Mother’s Club committees, coordinate and oversee all Mother’s Club fundraising efforts, and keep Helias administration apprised of Mother’s Club endeavors.
Committee Chairmanship Positions
Buyer: This is usually a two-person job, although two people could share it. The buyer purchases food products to stock the concession stands for Helias’ home athletic events.
Concession Chairpeople: Concession chairpeople oversee the concession stand sales at Helias’ home athletic events.
Concession Chairpeople for Fall Sports:
· Football (2 concession stands, each of which have two chairpeople)
· Volleyball
· Boys Soccer
· Girls Softball
Concession Chairpeople for Winter Sports
· Boys Basketball
· Girls Basketball
· Wrestling
Concession Chairpeople for Spring Sports
· Girls Soccer
Concession chairpeople’s primary responsibility prior to game day is:
- Contact scheduled concession stand volunteers to provide a reminder prior to their scheduled event to ensure adequate volunteer staffing;
- Work with Mother’s Club officers to ensure adequate food and beverages are stocked in concession stand;
- Order pizza from our pizza supplier if pizza is a menu item for their sport;
Concession chairmanships primary responsibility on game day is:
- Attend each home game of their sport, or alternate if there is more than one chairperson;
- Assist in setting up the concession stand prior to the start of each game, train scheduled volunteers on the mechanics of working the concession stand, and assist with clean up at the end of the game.
Poinsettia Sales Chairpeople: These volunteers coordinate the largest single Mother’s Club fundraiser. Responsibilities include making business contacts to sell poinsettias in bulk, promoting internal sales through the student body, poinsettia distribution, and tracking the dollars and cents of the entire process.
Formal Sale Chairperson: These volunteers coordinate the sale of used formals. The formal sale is generally held on a weekend, and these chairpeople handle the promotion of this event, as well as set-up and clean-up. This is a fun event to work, as you get to watch the girls dress up!
